You&#8217;re short on a way to compare them that isn&#8217;t just a features list dressed up as &#8220;insight.&#8221; So here&#8217;s a checklist built around the questions that actually separate a good fit from an expensive mistake, most of which never come up until month three of implementation.<\/p>\n<h2>1. Does it actually understand European regulatory requirements, or is compliance bolted on?<\/h2>\n<p>This is the first filter, and it should eliminate more vendors than you&#8217;d expect.<\/p>\n<ul>\n<li><strong>GDPR isn&#8217;t optional, and it isn&#8217;t generic.<\/strong> Ask specifically how patient and embryo data is stored, where servers are physically located, and what happens to data if you switch providers later. &#8220;We&#8217;re GDPR compliant&#8221; is a marketing sentence. Data residency, retention policies, and breach notification procedures are the actual answer.<\/li>\n<li><strong>EU SoHO Regulation.<\/strong> The updated Substances of Human Origin regulation directly affects how reproductive tissue and cell data must be traced and reported. If a vendor can&#8217;t explain how their system handles SoHO traceability requirements without pausing to check with engineering, that&#8217;s a signal, this should be a designed-in feature, not a future roadmap item.<\/li>\n<li><strong>Cross-border data transfer<\/strong>, relevant if your clinic treats patients from outside the EU or shares data with partner labs abroad.<\/li>\n<\/ul>\n<h2>2. Can it talk to your embryology lab equipment, or does it just claim to?<\/h2>\n<p>This is where the gap between marketing copy and reality shows up fastest.<\/p>\n<p>Ask for a live demonstration, not a slide, of the integration with your time-lapse incubation system (EmbryoScope or equivalent). Then ask the pointed question: <strong>is this a background sync, or does it require someone to manually trigger data retrieval?<\/strong><\/p>\n<p>Neither answer is automatically wrong, but you need to know which one you&#8217;re getting, because it changes your embryologists&#8217; daily workflow. Fewer have a good answer when you ask:<\/p>\n<ul>\n<li>What is the AI model actually trained on, and is that data representative of your patient population?<\/li>\n<li>Is the AI feature assistive (flagging patterns for embryologist review) or is it making unsupervised recommendations?<\/li>\n<li>Can you turn it off, and does the software still function fully without it?<\/li>\n<\/ul>\n<p>If a vendor can&#8217;t clearly separate &#8220;what the AI suggests&#8221; from &#8220;what the embryologist decides,&#8221; treat that as a governance red flag, not a feature.<\/p>\n<h2>4. What does implementation actually cost, in time, not just money?<\/h2>\n<p>The license fee is rarely where clinics get surprised. The real costs are:<\/p>\n<ul>\n<li><strong>Migration.<\/strong> How much of your existing patient history, cycle data, and lab records can be migrated automatically versus manually re-entered?<\/li>\n<li><strong>Training time.<\/strong> How many hours per staff role, realistically, before the team is at full speed? Ask for a reference clinic of similar size you can actually call.<\/li>\n<li><strong>Parallel running.<\/strong> Will you need to run old and new systems simultaneously during transition, and for how long? This is often the single most disruptive and understated cost of switching systems.<\/li>\n<\/ul>\n<h2>5. Who owns the relationship after the contract is signed?<\/h2>\n<p>A checklist item that&#8217;s easy to skip and expensive to ignore.<\/p>\n<ul>\n<li>Is support based in a time zone that overlaps with your clinical hours?<\/li>\n<li>Is there a dedicated point of contact, or a ticket queue?<\/li>\n<li>What&#8217;s the actual SLA for a system-down incident during an active cycle, not the SLA in the contract&#8217;s fine print, but what clinics report happens in practice?<\/li>\n<\/ul>\n<h2>6. Does the roadmap match where the field is actually going, or where it was five years ago?<\/h2>\n<p>Ask vendors directly what they&#8217;re building next, and why. European fertility clinics are under real pressure from multiple directions at once: SoHO compliance deadlines, patient demand for transparency, staffing shortages in embryology, and rising expectations around AI-assisted lab work. A vendor whose roadmap doesn&#8217;t reference at least the first two isn&#8217;t paying attention to your regulatory reality.<\/p>\n<h2>The bottom line<\/h2>\n<p>None of this is about finding the vendor with the longest features list.
